Job Description

Cafeyn is seeking an experienced and dynamic Executive & Personal Assistant to support our CEO. The profile we are looking for is first and foremost organized and nimble, as our fast-paced environment involves work that will require this role to have initiative and exercise independent judgment.
You will engage with parties and associated contacts of a sensitive, complex, and highly confidential nature. In order to be successful and meet both the CEO and business demands, you will need to work under minimal supervision, have flexibility about the time of day and hours to be worked and capable of responding within short time frames.


  • Support the CEO by performing advanced-level administrative work of complex nature including planning, coordinating, organizing and producing work that requires a high level of discretion and confidentiality.
  • Management of calendars including conflicts, priorities, recurring meeting rationalization, management of the daily and weekly schedules.
  • Coordinate and manage CEOs travel arrangements directly (meetings, conference calls, booking & approving travel, etc.) : travel, transport and accommodation
  • Responsible for CEOs expense reports and related documents.
  • Coordinate meetings, including leadership off sites, speaking engagements, executive planning meetings, and external presentations.
  • Typing, compiling and preparing reports, presentations and correspondence
  • Executive Committee Event organization

Preferred Experience

  • Work experience as an Executive Assistant, Personal Assistant or similar role (PA diploma or certification is a plus)
  • Expert level ability to interact and communicate effectively, tactfully and respectfully with others in all possible situations in both written and oral communication.
  • Must be very organized and be able to multi-task and manage multiple things at once.
  • Strong written communication skills.
  • Expert level skills in Microsoft Office Suite, Google Office Suite.
  • Discretion and confidentiality
  • English spoken to a native level and fluent level of French
  • Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
